Rather than juggling dozens of little tasks yourself (and risking forgetting one at the worst possible moment), automation software sets things up to run in the background, making your life a heck of a lot easier.

Whenever I'm about to invest in a new software tool for my business, the first place I turn to is Zapier to see if it's on their list of connected Apps.

Once you've got a handle on your day-to-day frustrations, keep an eye out for a tool that:

  • Has an intuitive, easy-to-navigate dashboard (nothing kills momentum like a confusing interface).
  • Lets you build custom workflows to fit your exact needs, no cookie-cutter setups!
  • Integrates seamlessly with all your favorite apps, think CRMs, email platforms, project managers, you name it.
  • Offers cloud-based access, so you and your team can work from anywhere.
  • Includes solid security features, since your data should always be locked down tight.
  • Scales up as your business grows (no one wants to migrate later).
  • Provides handy analytics or real-time reporting tools, so you can see what's working, and what isn't, at a glance.
  • Bonus points if it uses smart automation, like AI, to handle document sorting or data capture for you.

Trust me, a little time spent up front comparing these features will pay off in spades when you’re saving hours every week.

Before you get too excited demoing the next shiny software, let's talk practicalities. When you’re scoping out workflow automation tools, there are a few essential features to keep top of mind so you don’t end up with a fancy solution that collects dust. Here’s what I always keep an eye out for, and what you’ll thank yourself for prioritizing:

  • Ease of Use: A clean, user-friendly interface is non-negotiable. If you need a PhD in computer science just to build a simple automation, it’s not the right tool. Look for drag-and-drop functionality and straightforward navigation.
  • Smart Automation: More tools these days are adding AI or machine learning that can help with tasks like sorting documents, triggering actions, or even catching errors before you do. If it can save you from a manual headache, even better.
  • Seamless Integrations: Make sure the tool plays nicely with your current software stack (think: Gmail, Trello, Salesforce, MailChimp, or whatever you use daily). The more integrations, the more you can automate without reinventing the wheel.
  • Customizable Workflows: Every business is a bit different, so look for options that let you tweak automations to match your exact processes, not just cookie-cutter templates.
  • Cloud-Based Flexibility: Cloud options usually mean you can check in and run your automations from anywhere, office, home, or the local coffee shop.
  • Real-Time Reporting: It’s handy to be able to track what your automations are doing and spot bottlenecks as they happen. Good reporting dashboards make this so much easier.
  • Data Security: Make sure whatever you choose follows best practices to keep your information, and your clients' data, safe and sound.

Zapier has saved me a ton of time doing boring, repetitive tasks, that I'd either normally forget to do or really can't be bothered to do on a regular basis.

**For example: **

  • When I get a new lead in Insightly (my chosen CRM) then add the user to a Custom Audience in Facebook's Ad Manager.
  • When a new prospect books a call automatically add all their details into Insightly, set up a Pipeline, add them into MailChimp and add their mobile number to TextMagic.
  • When I upload a new blog, podcast episode or video to YouTube then automatically send out status updates to my social media channels (Twitter, Facebook and LinkedIn).
  • When someone requests a new book from me (using TypeForm) then add them into Insightly as a Lead to follow up with.
  • When someone submits a Lead Form via my Facebook Ads Campaigns then send an email out with a link to the download directly from my email app (the Open Rates are REMARKABLE!)
